Office Administration Manager (m/f/d) part-time (min. 50%)

Are you an organizational talent looking for a new professional challenge? For our Madrid office we are looking for an Office Manager to start as soon as possible. As Office Manager you are
responsible for a variety of administrative and organizational activities with which you will significantly support the success of the office.

 

 

Your tasks
  • You are the first point of contact for all internal and external inquiries and are responsible for the general processing of incoming and outgoing mail
  • You handle correspondence independently or in coordination with the office management or the team
  • You arrange and coordinate appointments for the managing director and the team
  • You create news entries for the intranet in coordination with the team
  • You will prepare working documents, presentations and other documentation if required
  • You plan and book business trips and monitor travel expense reports
  • As contact person for external service providers (e.g. janitors and technicians), you maintain an overview of all matters concerning the office premises
  • You ensure that sufficient office supplies are always available
  • You welcome our external visitors and business partners
  • You are in close contact with colleagues in the administration department of all sbp offices
  • Other tasks related to the position

 

Your profile
  • You have a completed apprenticeship in office communication/office management or comparable commercial training and have already gained initial professional experience in the field of office organization
  • You have strong MS Office skills (especially Excel, Word and PowerPoint); ideally, you have previously worked with Adobe InDesign
  • Ideally you have already experienced the engineering and architecture industry
  • You have excellent Spanish language skills and are fluent in English (German or other languages are a plus)
  • You work well in a team, you are reliable and highly committed
